Services

Two ways to work with Harcam.

Staff your own team of agents from our agent database, or have Harcam's employed agents attend on your behalf. Either way, we handle the recruitment, vetting and logistics.

Agent staffing

This is Harcam's core business. We draw on our national database of document collection agents to help Claims Management Companies and Solicitor Firms build and scale their own agent network for attending and contacting existing clients — handling recruitment, vetting and placement so you have reliable agents in place without running your own hiring process.

Attendance & address verification

A Harcam agent attends in person to confirm a client lives where they say they do, as part of the wider claims process.

Photographic evidence

Clear, timestamped photographs of disrepair and other issues, captured on site and returned securely.

Learn more

Client statements

Our agents talk clients through the claims process, address any concerns and take a statement while on site.

Learn more

Identity document collection

Where a client is vulnerable or unable to complete ID checks online, our agents see original photo ID and proof of address in person, check the photo against the person in front of them, and collect copies or originals as instructed.

Visit reporting

Every attendance is documented and returned to you as a structured report, ready to go straight into the file.

Client engagement

Where a client who's already signed up has gone quiet, we run contact campaigns — calls, emails, texts and letters — with an in-person visit only as a last resort, and log an outcome against every case so you know exactly where it stands.

See how it works

Lender ID verification

Face-to-face identity checks on loan and mortgage applicants at their home or workplace, so a lender knows the applicant is real and is who they say they are.

For Lenders

Signing & witnessing

We take paperwork to the client, walk them through where to sign, witness signatures where required and bring the completed pack back — no chasing documents by post.

Occupancy & site checks

Confirm who lives at a property, whether it's occupied as stated, or that a business operates from the address it has given — recorded with photographs and notes.

For Lenders & Brokers

Meet the applicant before the money moves.

Online checks can't always prove the person applying is the person on the documents. Harcam gives banks, building societies, specialist Lenders and Brokers a trained agent on the doorstep — verifying identity face to face, collecting the paperwork and confirming the applicant lives where they say they do.

How a lender visit works
  1. You instruct us with the applicant's details and your checklist — which ID, which documents, what needs signing.
  2. We book the visit at the applicant's home or workplace, at a time that suits them.
  3. Our agent attends, checks original ID against the applicant, collects and certifies documents and witnesses signatures.
  4. You get the evidence — certified copies, photographs, signed paperwork and a visit report — returned securely.
Face-to-face ID verification

Original passport, driving licence or other photo ID inspected in person and matched to the applicant — the in-person check many Lenders rely on to satisfy KYC and anti-fraud requirements.

Certified copies

Copies of ID and proof of address taken from the originals on site and certified by the agent as true copies, ready for your file.

Address confirmation

The agent confirms the applicant is living at the address given on the application, with the property photographed as evidence.

Signing & witnessing

Loan agreements, mortgage deeds and declarations signed in the agent's presence, with signatures witnessed where your process requires it.

Document collection

Payslips, bank statements, proof of deposit and other supporting documents gathered in one visit and checked for completeness before we leave.

Fraud prevention

Meeting applicants in person helps expose impersonation, identity theft and false addresses before funds are released.

Client re-engagement

Bring quiet cases back to life.

Clients sign up, then life gets in the way. Harcam works through the list of existing clients you give us — reconnecting by phone, email, text and letter, confirming whether they still want to proceed, updating their details and booking a paperwork or ID visit where one is needed.

Existing clients only. We contact people who already have a live case with you, from a list and script approved by you and, where relevant, your solicitor. Calls are about the client's existing case — not cold marketing.

Why Harcam

Built around reliable people.

Harcam was built to solve one problem: getting trustworthy people to the right place, on time — whether they're joining your team or attending on your behalf.

Vetted, trained representatives

Every agent is DBS-checked, fully insured and given the training to handle a visit properly before they represent you or attend a client on our behalf.

A documented, repeatable process

Instructions, scheduling and attendances all follow the same process, so every job — and every report that comes back to you — looks and reads the same way.

Secure handling of personal data

Photographs, statements and identity documents are collected only on instruction and returned to you securely, never shared beyond what's needed to complete the job.

Prompt scheduling and turnaround

Once onboarded, you can see agent availability and book jobs directly through our calendar — no back-and-forth needed to get a visit in the diary.

Agent vetting

Who we send to your customer's door.

Our agents represent you in people's homes, often with vulnerable customers. Every one of them goes through the same checks before they're placed or attend a visit.

DBS check

A Basic DBS check through a registered DBS Responsible Organisation, showing any unspent convictions or conditional cautions, before the agent starts.

Right to work & identity

Right to work in the UK and the agent's own identity checked from original documents.

References

Employment or character references taken up and reviewed before placement.

Training

Trained on the visit process, ID and document checking, data protection and working with vulnerable customers.

Confidentiality

Bound by confidentiality and data-handling obligations as a condition of working with Harcam.

Insurance

Covered by insurance while attending on our clients' behalf.

How it works

From onboarding to evidence.

Once you're onboarded with Harcam, booking an agent is as simple as checking a calendar.

Step 1

Onboarding

We agree the scope of work with you and set you up with access to our booking calendar.

Step 2

Scheduling

See agent availability in your area and book an attendance — or request additional agents — directly online.

Step 3

Attendance

A vetted Harcam agent attends on the date booked, carrying out the visit and speaking to the client on your behalf.

Step 4

Report returned

Photographs, statements and identity documents are compiled into a report and returned to you securely.

Data protection

Handled with the care personal data deserves.

Harcam Ltd processes personal data in line with the UK General Data Protection Regulation and the Data Protection Act 2018. When we attend on behalf of a client, we act as a data processor on their documented instructions.

Collected on instruction

Only the information our client asks for, and nothing more.

Encrypted transfer

Evidence moves between us and our clients over encrypted channels.

Need-to-know access

Only staff working on a case can see its records.

Limited retention

Records are deleted at the end of the agreed retention period.

FAQ

Questions, answered.

Can't see what you need? Get in touch.

Can Harcam supply agents for our own team?

Yes — staffing is Harcam's core service. We draw on our national database of agents to supply CMCs and Solicitor Firms with the document collection agents they need for attending and contacting their existing clients, whether that's ongoing cover or a one-off campaign.

Which areas do you cover?

We have agents based across London, the East Midlands (Nottingham, Derby, Peterborough), the West Midlands (West Bromwich, Walsall), Yorkshire (Doncaster) and East Anglia (Norwich, Ipswich), with a Regional Manager overseeing London. We can also travel to other parts of the UK on request, at a premium to cover the additional travel.

How quickly can a visit be arranged?

Once you're onboarded with Harcam, you can see agent availability in real time and book directly through our calendar, without having to go through us to check a date.

Are your agents vetted?

Yes. Every Harcam agent has a Basic DBS check through a registered DBS Responsible Organisation, plus right-to-work, identity and reference checks, before they're engaged. They're insured and trained in the visit process, document checking and data protection before they represent a client or attend on our behalf.

Do you work with Lenders and Mortgage Brokers?

Yes. When a bank, building society, specialist Lender or Broker needs to meet an applicant in person, we send an agent to their home or workplace to check original ID, confirm their address, collect supporting documents and have agreements signed — then return certified copies and a visit report to you.

Can your agents witness signatures and certify documents?

Yes. Agents can take paperwork to a client, guide them through signing, witness signatures where your process requires it, and certify copies of ID and proof of address as true copies of the originals they've seen. If a document legally needs a solicitor or notary to witness it, we'll tell you before the visit.

Which identity documents do you check?

Whatever your checklist asks for — typically a passport or photocard driving licence as photo ID, and a recent utility bill, bank statement or council tax bill as proof of address. The agent checks the originals against the person in front of them and records what was seen.

Can you work from our CRM?

Yes. For re-engagement campaigns we work from the list you give us and return an outcome for every case — wants to proceed, appointment booked, documents needed, declined or unable to contact — in a format you can load straight back into your CRM.

How is evidence returned to us?

Photographs, statements and any documents collected during a visit are compiled into a report and returned to you securely, in line with the retention period we agree with you.

What happens to identity documents after a visit?

ID and proof of address documents are collected only where a client instructs us to — typically for vulnerable customers who are unable to complete these checks online themselves — and are passed to the instructing client before being deleted from our systems within the agreed retention period.

What if a client isn't responding?

For clients who've already signed up but have gone quiet, we can run a contact campaign — calls, emails, texts and letters — and, only where that doesn't work, send an agent to visit in person. The aim is simply to re-establish contact and keep the case moving.
